Better Team Meetings - Made Easy

Side conversations, people arriving late, no agenda, no minutes of the last meeting - these are all common problems with today's workplace meetings. And yet, they are completely avoidable!

 

Unfortunately, during my career, I have attended many meetings that I felt were a waste of my time - but meetings are an essential communication tool for effective teams - as long as the meetings are efficient and productive.

 

Upon completion of the Better Team Meetings - Made Easy! training workshop you will be able to effectively:

  • Prepare for and follow-up meetings, including preparing appropriate agendas and establishing action plans;
  • Understand the four key meeting roles and be able to apply the key responsibilities of each;
  • Actively participate in meetings while assisting the group to stay on topic, make collective decisions and solicit input from all participants using a variety of methods.

 

Here are a few common problems that you run into at meetings:

  • Meeting starts and/or finishes late;
  • Conversations get off-track;
  • Certain people monopolize the conversations;
  • Meeting lacks direction and focus;
  • No agenda for meeting; and
  • No minutes to follow-up meeting and no action plans.

 

These are a just a few of the common AVOIDABLE things that go wrong with meetings! During this one-day Better Meetings Made Easy training workshop, you will learn how to prepare for and structure your meetings so that you maximize the use of your time and energy. This highly participative, learner-centered course will provide you with the tools and skills to improve the efficiency and effectiveness of the meetings that you participate in. You will also have a chance to practice your skills in a safe and fun learning environment!

 

Key Topics Include:

  • Preparing for the meeting: Meetings are often ineffective because people arrive unprepared – the facilitator and/or the participants. Sometimes an agenda has not been prepared or may have been, but was not distributed in advance, so attendees do not know what to expect. Hence, they often arrive without the documents that they need or having not completed key tasks. This workshop on how to run effective meetings will address these problems and offer suggestions of how to keep them from happening.
  • Ground Rules: Ground rules are simply acceptable rules of behaviour that the group agrees to. A good set of ground rules that participants adhere to, will help the group to embark on healthy discussions that allow all attendees to participate. They help the group to deal with other common problems like those who tend to dominate discussions, decision-making, routine lateness and others. You will have the opportunity to review suggested ground rules and draft a sample that can be taken back to your workplace and discussed with others at future meetings. 
  • The Four Key Meeting Roles: The facilitator, note-taker, time-keeper and scribe all play an important part in working together to run an effective and efficient meeting. You will be provided with a description of the roles and responsibilities of each and will have several opportunities to apply your learning in role-plays, throughout the day.
